DESCRIPTION:
Provides secretarial and administrative support to the Oncology team, Regulatory Development. Work is generally administrative and covers a wide variety of complex activities and special projects. This job requires substantial internal/external interfaces with decisions being made on behalf of the company. Multiple demands with short timelines are common and require a high degree of initiative, flexibility, analytical judgment, and organizational skills. Actual duties may vary according to assignment, but all involve the coordination and maintenance of facts, data, documents, and/or the like.
Major Duties and Responsibilities:
- Demonstrate a high level of aptitude in coordinating simultaneous activities while maintaining efficiency.
- Calendar management
- e-mail management
- Scheduling of complex meetings
- Scheduling complex travel arrangements
- Provide professional and adequate phone coverage
- Decision Making Authority – within the context of the responsibilities, incumbent understands the priorities and constraints, and makes decisions in the absence of the Vice President such that the day-to-day aspects are managed.
- Key Internal and External Relationships- will need to interact routinely with administrative support staff within the Corporate Regulatory Affairs organization and other groups in multiple sites and countries.
EXPERIENCE AND QUALIFICATIONS:
- Prior experience at this level is required.
- Ability to work proficiently in a global, multi-site, multi-national environment.
- Ability to exercise judgment, make decisions, and take action to complete assignments.
- Skills include proficiency in Lotus Notes, Microsoft Office software/tools, ability to manage complex meeting arrangements and travel arrangements.
- Ability to multi-task required.
- 8 years experience in a similar role.
- Good communication, organization, and interpersonal skills essential.
- Regulatory pharmaceutical experience highly desirable.

2) Administrative Assistant – 6 month contract (New Jersey) 714
DESCRIPTION:
The Administrative Assistant will perform a variety of administrative, secretarial, clerical, and general business activities. Must be able to work rapidly and accurately with minimal direction. The person must also be able to communicate effectively with individuals from other departments, sites and companies.
- Schedule international and domestic travel arrangements, coordinate video/teleconferences, and maintain all departmental reporting systems.
- Assist with PowerPoint presentations when necessary.
- Utilize MS Outlook for scheduling meetings, appointments etc. and for utilizing electronic mail.
- Coordinate video/teleconferences, maintain all departmental reporting systems, and expense reports.
- Interact with administrative staff and supervisors within the company.
- Utilize 4 or more software packages (i.e. MS Word, MS Excel, MS Access and MS PowerPoint).
EXPERIENCE AND QUALIFICATIONS:
- Must have excellent organizational and analytical skills, be able to communicate clearly and effectively (both verbally and in writing) and be able to perform in a team setting.
- Must be proactive, self-motivated, and results-oriented, with the ability to prioritize and accomplish tasks both independently and as part of a team, reliably, quickly and in a professional manner.
- Must have experience with Outlook calendar management.
- MS Word, MS Excel, MS Access and MS PowerPoint experience required
- B.A. or A.A. Degree preferred.

3) Coordinator – 10 month contract (New Jersey) 378
DESCRIPTION:
Provide administrative and coordination support to the FRSA head and group to accomplish their functional and strategic objectives, including (but not limited to) lobbying, contract and compliance-related activities.
Role Responsibilities:
- Interface to other administrative support throughout the company on behalf of the unit
- Provide general administrative duties such as filing, faxing, photocopying, preparing correspondence, preparing expense reports, and maintaining calendars for department
- Prepare and design extensive presentations in PowerPoint
- Coordinate travel arrangements
- Coordinate in-house and off-site meetings
- Coordinate and assist with budgets and coordinate charges with the appropriate departments within the Company
- Assist with review of data and information relating to state law compliance requirements
- Assist other members of department on specialized projects as appropriate
EXPERIENCE AND QUALIFICATIONS:
- Extensive knowledge of word processing and other related office software packages such as Microsoft Word, Excel, PowerPoint, Outlook
- Excellent organizational and interpersonal skills
- Excellent written and verbal communication skills
- Must be detailed oriented and able to handle various tasks
- Must be flexible with work schedule and with overtime
- High School Diploma; some college courses or advanced training preferred
- Minimum 3 years related experience, in pharmaceutical or legal environment

4) Administrative Assistant II – 6 month contract (New Jersey) 111
DESCRIPTION:
eCAF processing:
- Monitor queues ensuring timely eCAF routing and assignment
- Assign contract numbers as appropriate
Processing of incoming executed contracts (Recording and Archiving):
- QA all incoming contracts to ensure compliance with US Corp. Policies (US CAP, DOA, etc)
- Return and track status of deficient contracts
- Scan compliant contracts
- Attach all scanned documents to appropriate entries in MM (contracts database)
- Update Matters entry with archive box info, contract status, etc.
- Manual input contract entries as necessary
- Manual Matters Manager entry of exempt contracts (e.g., CDAs, contracts with paper CAFs)
- Prepare and send archive box for storage
Contract Search Coordination – handle requests for contracts both historic and current:
- Run queries on various resources — contracts databases (MM, eCAF, Mis, FileList2000, or OmniBox)
- Coordinate searches with R&D, French or German counterparts.
- Provide accurate and timely contract search results for associates
- Request and search archive boxes for contracts identified through search results
- Provide contract copies
- Assist counterparts with contract searches and contract retrievals
- Audit related searches and contract retrievals
EXPERIENCE AND QUALIFICATIONS:
- Must have excellent organizational and analytical skills, be able to communicate clearly and effectively (both verbally and in writing) and be able to perform in a team setting.
- Must be proactive, self-motivated, and results-oriented, with the ability to prioritize and accomplish tasks both independently and as part of a team, reliably, quickly and in a professional manner. Must have excellent interpersonal skills and be able to communicate with a wide range of people at all levels in the company.
- Attention to detail with the ability to quickly adapt to changing situations are essential.
- Working knowledge of MS Outlook, Adobe Acrobat Professional and intermediate knowledge of MS Excel preferred.
- Experience working with/in TyMetrix would be beneficial.

5) Contracts Administrator/(Sr) Manager level – Full Time Position (San Francisco Bay Area) SZ55S
DESCRIPTION:
This position can be at the Administrator to Sr Manager level depending on experience. The contracts administrator/paralegal will be a member of the Legal Team, a tight-knit group of highly-motivated individuals in a positive, professional working environment. This person will assist attorneys and team members in the intake, drafting, negotiation and post-execution administration of non-disclosure, material transfer, vendor services, and other agreements. This individual must be a self-starter and comfortable working in a fast-paced environment with high volume production requirements, and meeting frequent tight deadlines under minimal supervision. This position will manage the process and workflow of contracts, assure compliance with existing agreements, and ensure the proper routing of documents for execution by corporate officers and perform other duties as assigned by attorneys and other team members. The individual in this position will serve multiple internal client groups across the company.
Duties:
- Prepare drafts of agreements and negotiations with outside parties
- Gather and confirm facts necessary to initiate contract formation with Legal team and internal stakeholders
- Generate initial contract drafts and prepare successive redlines
- Perform initial review of contracts and comments from outside parties
- Negotiation with outside parties
- Prepare/format and finalize contracts for execution
- Work with Legal team to administer a document-tracking database, including data entry and the generation of summary reports on agreement status
- Monitor contracts for compliance with company and department policies
- Perform other tasks as assigned by Legal team members
EXPERIENCE AND QUALIFICATIONS:
- BA/BS and/or ABA-approved paralegal certificate, or other comparable legal experience
- Three to five years’ experience in the review, negotiation and administration of contracts (biotech preferred)
- Intellectual property law background preferred
- Excellent communication skills, both written and verbal
- Excellent organizational and analytical skills
- Demonstrated proficiency with Microsoft Office applications (Word, Outlook, Excel, Access) and experience with contract management and database applications
- Flexible team-player with ability to balance multiple projects and instructions often with competing deadlines
- Creative, self-motivated, self-starter with strong organizational, prioritization and interpersonal skills
