1) Sr. Administrative Assistant, Clinical Development – Full Time Position (San Francisco Bay Area) L16GX
DESCRIPTION:
- Provide administrative support to a growing Clinical Development Staff. Anticipate organization needs; proactively offer and provide confidential administrative support with little direction or oversight.
- Exercises judgment within generally defined practices and policies in selecting methods and techniques for obtaining solutions.
- Effectively prioritize and execute multiple projects simultaneously; consistently meet established timelines in a fast-paced, high change environment.
Key Tasks may include:
- Heavy calendar management; to include shared departmental calendars
- Coordination of travel arrangements and preparation of expense reports
- Planning and coordination of internal and external meetings including video and web conferencing
- Collect and prepare information for use in discussions/meetings.
- Prepare agendas and schedule departmental and team meetings.
- Create and maintain files, records, filing systems, and databases; both paper and electronic.
- Create, proofread and edit documents and presentations.
- Prepare reports, letters, email, and other documents.
- Record, compile, type and distribute meeting minutes.
- Maintain and order office supplies for the Clinical Development Team.
- Coordinate and organize department external meetings during scientific conferences and other venues
- Manage the department communication and files on the intranet and clinical research drives
- Provide occasional back-up support to receptionist
EXPERIENCE AND QUALIFICATIONS:
- At least 8 years related corporate experience in a fast-paced environment; biotech or pharmaceutical industry experience preferred.
- Demonstrated strong knowledge of MS Office (Excel, Word, PowerPoint, and Outlook).
- Excellent interpersonal, written, and verbal communication skills; upbeat, professional demeanor; clear, concise communicator in both formal and informal settings with demonstrated excellence in English grammar, including written and oral communication.
- Adopts and maintains the utmost integrity and respect for colleagues at all levels, both internally and externally; strong sense of discretion; trustworthy.
- Dedicated to excellence in quality, reliability, and thoroughness in all work tasks; detail-oriented with consistent follow-through.
- Flexible, adapts work style to meet organization needs.

2) Administrator/Training Specialist – 5 month contract (New Jersey) 548
DESCRIPTION:
- Create courses and upload data for learners
- Manage learner profiles in the LMS database
- Run data queries, reports
- Upload content as required
- Provide technical support to learners
- Support instructors in the use of the LMS (Le@rn) as needed
- Run ad hoc reports, streamline their functionality
EXPERIENCE AND QUALIFICATIONS:
- Strong organizational skills, detail oriented
- Good oral and written skills
- Strong Microsoft Office skills, Excel in particular
- Storyboarding and instructional design skills are a plus
- Knowledge of web design and layout skills a plus
- Strong computer skills/advanced training with an emphasis on databases
- Knowledge of and demonstrated experience with reports software, building queries, etc…
- Demonstrated experience in developing and managing eLearning technologies
- Demonstrated experience in a learning/training organization
- Mastery in adult learning concepts and technology

3) HR Coordinator – 3 month contract (New Jersey) 489
DESCRIPTION:
- Perform daily secretarial and administrative functions for the department.
- Use MS Outlook for scheduling meetings, appointments etc. and for utilizing electronic mail; interact with administrative staff and supervisors.
- Provide overall support to the Recruiting Team.
EXPERIENCE AND QUALIFICATIONS:
- Professional in demeanor and appearance.
- Strong communication skills; well organized; multi-tasked; able to work under little or no supervision.
- Previous office experience required.
- High School degree required, with Associate’s Degree or 4-year degree preferred.

4) Regional Sales Coordinator – 9 month contract (near Madison, Wisconsin) 829
DESCRIPTION:
Managing office functions for regional sales office. Comfortable working independently. Coordinating all activities for sales and division managers for ~about 100 employees reporting into this office. All communication done via email or phone.
Run the regional office including:
- Maintain Regional Calendar
- Maintain ERoom documentation, update ERoom participants -Establish and maintain appropriate Business Files and Personnel Files
- Order supplies, maintain A.V. equipment and ensure conference room is supplied.
- Ensure that meetings held in the Regional office are run smoothly with enough supplies required including coffee, catered in breakfast/lunches, etc.
- Ship, track and process UPS and Fedex shipments from the office.
- Enter other bills into Ariba E-Shopping systems for bill payments for the region and office.
- Audit the Merlin Reports for errors on a monthly basis.
- Process Weekly Business Updates from DM’s, Vacancy Report & RSD Monthly Report.
- Process check requests for the entire Region. This includes processing Speaker Program Expenses, Lab checks as well as Grants /Sponsorships.
- Audit monthly American Express charges for speakers’ airfare.
- Maintain a detailed log and follow up on all outstanding and completed check requests to ensure that they are processed in a timely manner.
- Notify BPS via email when sending a check directly to a doctor or program.
- Ensure that all of the paperwork sent into Legal and Accounting is complete and accurate.
- Work closely with the Senior RSD to assist in handling special tasks or projects including:
- Any set up or cancellations of travel and meetings.
- Maintain RSD’s calendar and appointments if required.
- Generating certificates, ordering plaques and trophies for the Awards and setting up the awards calculations spreadsheets by running DASH and Microstrategies reports, using ROI Trackers, entering information from the Employee Achievement Reports -Assist in hiring and checkout process, such as ECI, Choice Point etc.
- Assist field personnel or corporate office with any information or reports that are needed
EXPERIENCE AND QUALIFICATIONS:
- Strong intrapersonal and communication skills a must. Multi-task, attention to detail.
- Sales experience not required but nice to have.
- HS diploma. Some college preferred
