1) Contract Coordinator / Clinical and Scientific Purchasing – 5 month contract (New Jersey) 112

DESCRIPTION:

This position supports Clinical & Scientific Purchasing by coordinating contract preparation, planning and follow-up on new and ongoing Scientific & clinical trials in contract and purchasing activities. Receives contract request forms and works to understand customer requirements, processes request forms with Legal, maintains follow-up on contracts and works to resolve issues. Monitors the quality of data and the compliance of the purchasing project files with Clinical & Scientific Purchasing procedure.

The position will support assigned Scientific and Clinical Purchasing managers to:

  • Develop payment schedule
  • Manage change order requests
  • Review SOW
  • Compile and review bid proposals
  • Back-up assigned CPM when necessary (vacations, etc.)
  • Manage account reconciliations, PO closeouts, study early termination etc …

EXPERIENCE AND QUALIFICATIONS:

  • Sound knowledge of contracts and business theory principles, and practices plus proven capability to apply them as required.
  • Capability to understand requests for contracts, evaluate and analyze costs and data, handle problems, understand pharmaceutical R&D technical requirements and developed purchasing skills is required.
  • Must be capable of working well in team situations with a variety of internal customers and outside suppliers.
  • Capability to manage multiple priorities, organize complex documents, and resolve issues creatively.
  • The position requires excellent verbal and written communications skills and high ethical standards.
  • Experience in working within a global & multicultural organization
  • Minimum of Bachelor’s degree in business or related discipline or equivalent of a minimum of 6 to 8 years of Scientific or clinical contract experience, or equivalent theoretical/technical experience in Scientific & clinical field is required.
  • 5 years of Buyer experience required.

2) Financial Controller – Contract to Full time (San Francisco Bay area) S58SB

DESCRIPTION:

The Controller will oversee internal and external accounting function. Responsible for overall day-to-day management of accounting and controls. Ensures the accounting department serves the accounting needs of the overall company. This includes but is not limited to the following:

  • Ensure that the monthly, quarterly and annual financial, regulatory and management reporting is completed on a timely basis and in accordance with GAAP
  • Oversee the operations of the accounting department, including optimizing the departmental organizational structure and processes to achieve departments goals and objectives.
  • Manage and mentor accounting team
  • Serve as primary contact for and manage external audit and tax service providers
  • Lead the process for the production of the annual operating plan
  • Provide financial forecasts and analysis, as needed
  • Implement and ensure adherence to accounting policies and procedures
  • Identify opportunities to increase efficiencies and improve processes
  • Develop and maintain internal controls for key processes and ensure proper controls for SOX compliance
  • Responsible for equity accounting and oversight of equity administration
  • Manage financial information systems monitoring and controls using Great Plains
  • Drive financial and administrative projects as needed

EXPERIENCE AND QUALIFICATIONS:

  • Qualifications & Specialized Skills:
  • BA/BS degree, MBA preferred. CPA required
  • 8+ years of experience to include biotech/pharma industry experience
  • Big Four public accounting experience preferred
  • Experience with both public and private environments preferred
  • Thorough technical accounting knowledge of issues, procedures and practices
  • Experience with SEC reporting
  • Stock option accounting
  • Working knowledge of Accounting Systems such as Great Plains or equivalent systems
  • Must be highly analytical with initiative to take ownership of the finance/accounting function
  • Ability to identify and resolve problems with sound and accurate judgment
  • Must have demonstrated hands-on execution skills
  • Ability to interface and communicate effectively with executive management and other functions within the organization
  • Excellent written and oral communication skills
  • Strong management skills

3) Site Services Purchasing Administrative Liaison – 1 year contract (Massachusetts) 445

DESCRIPTION:

  • Site Services will provide one point of contact to assist with the NEXTS tool with regards to user training, troubleshooting, and submissions. (NEXTS stands for Normalized EXTended Spend Management).
  • This role will help research and senior staff to focus on other strategic tasks instead of devoting more extensive time to NEXTS.
  • It provides for a central local expert in NEXTS, one who can understand the many different compliance procedures different departments and business unit needs will have built into NEXTS.
  • It will be a primary liaison between the site and the US corporate business offices.
  • Serve as a Customer Service agent on behalf of Site Services regarding NEXTS or any other Purchasing challenges.
  • Serve as a trainer for staff needing more functional knowledge of NEXTS.
  • Aid submissions or resubmissions in NEXTS as possible.
  • Investigate rejected orders in NEXTS.
  • Aid in receipt of goods documentation in NEXTS.
  • Aid in accounts payable approvals in Catalyst as appropriate.
  • Assist in blanket orders and spend tracking for Site Services.

EXPERIENCE AND QUALIFICATIONS:

  • Ability to work in a fast-paced, rapidly changing environment, to multitask, and to prioritize their work or follow priorities assigned to them. Highly organized. Flexibility and adaptability to organize and manage multiple projects and assignments and work with sense of urgency.
  • Excellent communication & interpersonal skills. Ability to interact with all levels within the organization as well as with vendors/consultants.
  • Ability to learn complex incremental procedures as well as teach others about those procedures.
  • Proficiency in Microsoft office products.
  • High school diploma or equivalent required. College a plus.
  • Experience in Purchasing, Finance, Contracts, or Accounts Payable a plus

4) Finance – Project Portfolio Management Assistant – 3 month contract (New Jersey) 953

DESCRIPTION:

  • Operationalize certain aspects of the project portfolio
  • Assist with the management of reports on resource capacity
  • Integrate project portfolio with IS project portfolio
  • Assist team members with the development of work plans
  • Follow up with project teams and provide routine project status updates
  • Ownership for maintenance and review of resource tracking
  • Assist in management of project issues
  • Assist in the identification and management of project risks
  • Assist in the identification of integration points between projects and offer advice to harmonize efforts where applicable
  • Assist in driving quality control for individual project deliverables
  • Perform initial quality review of project resource requests as required
  • Assist with Shared Services Project Management
  • Assist with project launch training logistics

EXPERIENCE AND QUALIFICATIONS:

  • Excellent understanding of portfolio/project management – PMP certified desired
  • Must have experience working on large systems implementations and working in larger cross functional team environment. Procure to pay subject matter expertise is a plus
  • An understanding of Project Management and is able to identify impacts and interdependencies
  • Previous experience with project and resources tracking tools a plus
  • Ability to work with project teams, team members with indirect reporting relationships, and external resources toward successful outcomes and attainment of business objectives
  • Establishes priorities and timelines to effectively manage workload of self and others, able to multi-task well
  • Ability to be work efficiently with little supervision, deliver high level of customer service and proven track record of following through with assignments meeting strict deadlines
  • Provides timely guidance and feedback to help others excel on the job and meet key responsibilities
  • Skilled at working effectively and professionally with all entities of North America as well as Global
  • Solves and works independently and with team to solve complex problems
  • Must possess analytical skills; attention to detail, diligently follow up on many items that are simultaneously in various stages of completion
  • Flexible disposition, effectively demonstrates competencies
  • Comfortable with accounting and finance concepts
  • Solid written and oral communication skills
  • Bachelor’s degree from an accredited four-year college or university plus 3-5 years’ work experience.
